Opportunity

We are looking to bring on a Payroll & HR Specialist to our team, who will be instrumental in overseeing the payroll process, managing any payroll or benefit-related taxes, and any clerical duties relating to the recording, processing, and issuing of semi-monthly payroll. The Payroll & HR Specialist will also serve as a resource and main contact for employees with payroll concerns or to assist other departments with required audits and reporting.

Reports: This position will report to the HR Manager.

Responsibilities: Responsibilities include, but are not limited to:

Payroll Processing

  • Process multi-state and global (US, Canada, and UK) payroll processing for 150+ employees. Calculate and process bonuses and commissions when appropriate, including annual bonuses.
  • Collect and verify timekeeping and time-off information for all employees, as well as make any adjustments for LOAs, overtime, etc.
  • Work closely with employees to finalize any pay-related inquiries or questions and adjust their timesheets or paychecks.
  • Identify opportunities for payroll process improvement and assist with the implementation of new changes

Compliance and Reporting

  • Manage the process of opening any new tax locations or closing current tax locations, as well as handling all tax related items with each entity. This includes any compliance reports or audits that need to be completed.
  • Prepare and submit reports with payroll information as needed to managers and accounting
  • Provide benefit reconciliation to the accounting team monthly, as well as review invoices for discrepancies.
  • Stay up to date with changes in payroll and employment laws and regulations to ensure compliance

Human Resources Support

  • Conduct training on meal breaks, rest periods, and overtime laws for hourly employees and supervisors. Manage overtime and meal penalties.
  • Manage payroll software and HRIS database to ensure it’s up to date.
  • Assist accounting with any audits and payroll or benefit reports.
  • Process and file paperwork and update electronic payroll records by entering adjustments on pay rates, employee status changes, etc.
  • Maintain files, databases, and documentation, including employee files and onboarding paperwork
  • Assist with HR administrative tasks as needed
  • Assist with benefit responsibilities, including enrollments, deduction issues, file feed errors, etc.
  • Miscellaneous projects as needed.

Basic Qualifications:

  • Excellent communication and interpersonal skills
  • Proactive, organized, and strong attention to detail
  • Strong analytical and problem-solving skills
  • Ability to effectively prioritize and execute tasks in a deadline-driven environment
  • Able to work independently and be self-motivated, while collaborating in a team environment

Experience:

  • At least 2-3 years of payroll experience (multi-state and global are a plus)
  • General knowledge of payroll processes, guidelines, and any applicable laws
  • Experience in data collection, entry, and reporting with great attention to detail and confidentiality
  • Computer savvy; proficient in Microsoft Office and knowledge of relevant software and databases
  • Ability to analyze and resolve problems
  • Experience using Paylocity and Blue Marble is a plus
  • Outstanding organizational and time management skills

Job Type: Regular, Full-Time

Salary Range: $70,000-75,000

  • Actual base salary is dependent on several factors including but not limited to; market dynamics, location and region, experience, specialized skills/training (education), level of responsibility, budgetary considerations, tenure at the company (for current employees), etc.
  • The salary range listed is just one component of the total compensation package for employees.
  • Compensation decisions are dependent on the circumstances of each role.
